This policy explains how Personal Training and Group Class bookings are made, changed and cancelled. We keep the process straightforward so that availability is managed fairly and customers know what to expect.

This Booking & Cancellation Policy applies to Personal Training sessions and Group Class bookings made through THE EVO PROJECT LIMITED. It explains when a booking becomes confirmed, how to request a change, what happens when a session is cancelled and how refunds are handled where applicable.

The policy should be read together with the Terms & Conditions, Membership Terms and Refund Policy published on this website.

Making a booking

Customers may request or make a booking through the booking facilities made available on the website or by contacting THE EVO PROJECT directly.

A booking is treated as confirmed when the relevant booking process has been completed and confirmation has been issued. Availability is subject to the published timetable and available session capacity.

  • Personal Training sessions are subject to trainer availability.
  • Group Class spaces are subject to the available class capacity.
  • A separate booking may be required for each scheduled session.
  • Customers should check the date and time shown in their confirmation.
  • Booking confirmation should be retained for reference.

When a booking is confirmed

Once a booking has been confirmed, the allocated session time is reserved for that customer. Customers are responsible for checking their confirmation details and contacting THE EVO PROJECT promptly if anything appears incorrect.

Check your booking before the session.

If you notice an incorrect date, time or session type, contact THE EVO PROJECT as soon as reasonably possible so that the booking can be reviewed before the scheduled start time.

Personal Training changes

Personal Training sessions are scheduled around the agreed availability of the customer and trainer. Because an individual session reserves a specific time, reasonable notice is required when a customer needs to cancel or move a booking.

24+ hours

Change or cancel

Customers may request a cancellation or change at least 24 hours before the scheduled start time without the booking being treated as a late cancellation.

Under 24 hours

Late cancellation

A cancellation or change requested less than 24 hours before the scheduled start time may be treated as a late cancellation.

Where a late cancellation results in a reserved session being unable to be offered to another customer, the session may remain chargeable or may not be eligible for a refund, subject to the circumstances and applicable consumer rights.

Group Class bookings

Group Classes operate according to the published timetable and available capacity. A confirmed class booking reserves a place for the scheduled session.

  • Customers should arrive in sufficient time to join the class before it begins.
  • A booking may not be transferable to another person unless THE EVO PROJECT agrees.
  • Class availability may vary according to the published timetable.
  • Where a class is full, customers may need to choose another available session.
  • Changes should be requested as early as possible rather than immediately before the class.

Customer cancellations

Customers should cancel or request a change as soon as they know they cannot attend. The 24-hour notice period is intended to give THE EVO PROJECT a reasonable opportunity to make the space available to another customer.

Where sufficient notice is provided, the booking may be cancelled, moved to another available time or otherwise dealt with in accordance with the applicable booking and refund arrangements.

Where less than 24 hours’ notice is provided, the booking may be treated as a late cancellation and the reserved session may not be refundable or transferable.

Cancellation terms are applied reasonably.

A cancellation arrangement will not be used to impose an unreasonable or disproportionate charge. Any refund or retained amount will take account of the service involved, the timing of the cancellation and applicable consumer rights.

Missed sessions

If a customer does not attend a confirmed session and has not contacted THE EVO PROJECT beforehand, the booking may be treated as a no-show.

A no-show may mean that the reserved session is not eligible for a refund or replacement session, particularly where the reserved time could not reasonably be offered to another customer.

Customers who know they will be late or unable to attend should contact THE EVO PROJECT as soon as possible.

Arriving late

Customers should allow enough time to arrive and be ready for the scheduled session.

If a customer arrives late, the session may still need to finish at the originally scheduled time so that later bookings are not affected. This means the available session time may be shorter.

Where the delay is caused by THE EVO PROJECT, the position will be reviewed reasonably and an appropriate alternative may be offered where practical.

Changing a booking

Requests to move a Personal Training or Group Class booking are subject to availability. A change is not confirmed until an alternative date or time has been agreed.

The change becomes effective once the new booking has been confirmed.

If we cancel a session

Occasionally, THE EVO PROJECT may need to cancel or change a scheduled session because of operational circumstances, trainer availability, facility requirements or other reasonable circumstances.

Where THE EVO PROJECT cancels a confirmed session and the service has not been provided, customers will normally be offered a suitable alternative booking or a refund for the affected unused booking, as appropriate.

Where reasonable notice is available, we will aim to contact affected customers using the contact details provided at booking.

Refunds following cancellation

Refund eligibility depends on the type of booking, the reason for cancellation, when the cancellation was received and whether the relevant service has already been provided.

  • Unused bookings cancelled with sufficient notice may qualify for a refund where the applicable terms allow.
  • Late cancellations may not qualify for a refund where the reserved time has been lost.
  • No-show bookings may not qualify for a refund or replacement session.
  • If THE EVO PROJECT cancels a confirmed unused booking, an appropriate alternative or refund will normally be offered.
  • Nothing in this policy limits any statutory consumer rights that cannot legally be excluded.

Approved refunds will normally be processed within 10 business days. The time taken for the funds to appear may then depend on the relevant bank, card issuer or account provider.

Online booking information

Where a booking is made online, customers should review the session type, date, time and applicable terms before completing the booking process.

Confirmation information may be sent to the email address supplied during the booking process. Customers should ensure that their contact details are accurate and check their inbox and relevant filtered folders where necessary.

Where a legal cancellation period applies to an online contract, that right will be provided in accordance with applicable law. Any request to begin a service during an applicable cancellation period will be handled in accordance with the relevant legal requirements.

Membership and session bookings

Gym membership provides access to the facilities and services included within the relevant membership type. Individual Personal Training sessions and selected Group Classes may require a separate booking.

Membership cancellation is governed by the separate Membership Terms. Cancelling an individual class or Personal Training booking does not automatically cancel a gym membership.

Reasonable and transparent arrangements

THE EVO PROJECT aims to operate booking and cancellation arrangements in a clear and reasonable way. The purpose of the notice period is to manage limited session availability rather than to create an excessive cancellation charge.

Any term that conflicts with a consumer’s mandatory statutory rights will be interpreted and applied subject to those rights.

Nothing in this policy is intended to exclude or restrict a responsibility that cannot lawfully be excluded or restricted.
